As a full-service document management consulting organization, we provide a range of programs that provide expert advice and support to buyers, enabling the most efficient use of internal resources when going out to bid for digital copiers, printers, related software/services or electronic document management software solutions..

Being a custom document management consulting service, our responsibilities can vary depending on your needs, but in many cases we perform six basic activities when customizing our proven Optimized Print Services (OPS) Program to exceed your objectives, all of course with your prior knowledge and consent:

Step One: We evaluate all aspects of your current system, including developing the printer/copier inventory (by deploying discovery tools across the network and/or walking through every office in your organization if necessary), current electronic document management solutions, client/server configurations, networking protocols, service reports, billing and other support services, then make our preliminary recommendations to you.

Step Two: Based on your feedback and direction, we can create a custom RFP/RFQ/ITN/SOW based on industry best practices as applicable to your organization's objectives.

Step Three: Our customer's purchasing department normally transmits/posts the custom RFP/RFQ/ITN/SOW we have created to all local vendors as well as to our national-level contacts at all appropriate suppliers.

Step Four: We evaluate all proposals received and make recommendations for further negotiations. For proof of concept prior to contract award, a custom test matrix is developed based upon the client's actual network environment.

Step Five: We submit the final contract for your approval based on the original RFP/RFQ/SOW, the supplier's proposal and resultant negotiations. All benchmarked industry terms and conditions (the ones never publicized!) are included.

Step Six: We visit again to ensure that all equipment is installed properly, that all billing is set up correctly from the beginning and that all training/network setup/print driver deployment is provided in strict accordance with the final written contract. We are your "eyes and ears" in the offices as the program is rolled out making 100% certain that you receive everything you are paying for!

Step Seven: To ensure contract compliance, we continue to work on your behalf with the supplier's sales & service teams throughout the term of your final agreement.
